WooCommerce inventory management

WooCommerce inventory management by location

WooCommerce inventory management means knowing what you hold, where, and why it changed, without guessing from the product screen. ExecCortex E-commerce Management connects your WooCommerce store and gives stock its own screen, with every adjustment explained.

WooCommerce inventory management beyond a stock number

WooCommerce inventory management starts simple: a stock number on each product. It gets hard when stock sits in more than one place, when somebody changes a number and nobody knows why, or when a shop counter sells from the same shelves as the website.

ExecCortex E-commerce Management connects your WooCommerce store and pulls your products, orders and stock in. Its Inventory screen is the one screen in the app that changes your real stock, and every change it makes carries a reason, so the stock history explains itself months later.

Reading and adjusting stock

Each location has its own column, because stock is held somewhere rather than in general. In store is what your store last reported; Total is what the location columns add up to. A warning triangle means the two disagree, which is normal between syncs. A dash means there is no stock record at that location at all, which is not the same as zero on the shelf.

To adjust, click the number you want to change. Enter the change, not the new total: the drawer shows the result before you save, in the form 42 becomes 52. Then say why, a correction, damage or something lost. The change is sent to your store as well. There is no undo; a wrong adjustment is corrected with a second one, and both stay in the history.

Alerts, transfers and restocking

Low stock alerts

Critical means out or about to be; Warning means below where you wanted it. Snooze hides one for a day, a week or a month.

Stock pools and transfers

Stock pools and Transfers show where stock sits and record it moving between places.

Stock counts

Count what is really on the shelf and record it.

Suppliers and purchase orders

Keep your suppliers and raise purchase orders for restocking.

Back in Stock

See the shoppers waiting for something to return.

A shop counter too

With the Point of Sale app, Import from store makes a till item for each product, and the till sends stock movements to the store that owns the figure.

Step by step

Setting up WooCommerce inventory management in ExecCortex

  1. 1.Connect WooCommerce

On Stores, pick WooCommerce, follow the connection steps and press Connect. The first sync runs in the background.

  2. 2.Check your locations

Locations shows the places stock is held. Only locations your store has switched on appear as columns.

  3. 3.Decide how changes go back

On the store’s Writing tab, choose always on, ask each time or never for the update control.

  4. 4.Adjust with a reason

On Inventory, click a number, enter the change and pick the reason.

  5. 5.Watch Sync activity

Synced is the only state meaning your store really has the change. Failed shows your store’s own message word for word.

Every screen is explained in detail in the E-commerce Management guide, Inventory section.

What it does not do

  • It does not replace WooCommerce. Your products and checkout stay in your store.
  • A zero adjustment is not accepted, because it would record a movement that changed nothing.
  • If your store rejects an adjustment, the figure here can run ahead of the real one until the next sync, so check your store after a large correction.

What it costs

Every workspace starts on the free plan, with no card required. Each app is then priced per workspace and switched on by itself, and capacity packs raise one limit at a time without moving you to a bigger plan. Prices below are read live from the platform.

Questions

WooCommerce inventory management: common questions

What is WooCommerce inventory management?

It is tracking and adjusting stock for a WooCommerce store, ideally by location and with a reason recorded for every change.

I entered 50 and now it says 90. Why?

The box takes a change, not a new total. Adding 50 to 40 gives 90. Correct it with a second adjustment.

Does an adjustment here change my WooCommerce stock?

Yes. The change is sent to your store as well. Sync activity shows whether the store accepted it.

Why does the stock here not match my store?

The warning triangle shows a disagreement, which is normal between syncs or when stock sits at a location that has been switched off.

Can I sell in a physical shop from the same stock?

Yes, with the Point of Sale app. Where your online store owns the stock figure, the till sends a movement to it.
