General ledger software
General ledger software with double entry books
General ledger software records every transaction as balanced debits and credits and builds your statements from them. ExecCortex Accounting & Finance keeps double entry books for every company you run, and any figure on any report can be followed back to the entries that made it.
What general ledger software does
General ledger software is the core of any accounting system. It holds the chart of accounts, takes journal entries in which debits equal credits, and produces the trial balance, profit and loss, balance sheet and cash flow from what was posted. Everything else in accounting, receivables, payables, bank and tax, ends up as entries in the ledger.
In ExecCortex the ledger is the Accounting & Finance app. You set up a company, build a chart of accounts, post entries and read the reports that come out of them. Every figure on every screen is built from posted entries, so nothing on a report is a number somebody typed in.
The ledger, built to be evidence
Chart of Accounts
Start from one of four templates or enter your accountant’s chart. A parent account becomes a heading and stops taking entries, so nothing is counted twice.
Journal Management
A draft needs a date and at least two lines. The bar above the lines shows debits, credits and the difference live, and you post only at zero.
Numbers at posting
A draft has no number. Numbers are handed out at posting, in order and with no gaps.
Reverse, never edit
A posted entry is corrected by reversing it. The mirror entry posts and both stay visible.
Dimensions
Cost centres, departments or regions, so you can report by them without an account for every combination.
Batches and recurring
Journal Batches put a month end in as one act. Recurring Journals create drafts on a schedule.
Reports, close and controls in the general ledger software
Run the Trial Balance first. Total debits and credits must agree exactly; if they do not, the report says so and names the entries involved. Profit & Loss, Balance Sheet and Cash Flow are built on it, and an account code links to its General Ledger for the same dates. Only posted entries appear: drafts and entries waiting for approval are left out, because they are not money that has moved.
Periods are created closed and opened on purpose. Period Close works through a checklist with blocking tasks, Revaluation posts the difference on foreign currency balances, and a soft close still lets a permitted person post a late adjustment on the record. Year End posts one journal into retained earnings and locks every period of the year.
One workspace can run several companies, each with its own currency and fiscal calendar, and nothing is ever pooled across two of them. Group Finance handles intercompany trading and consolidation. The Audit Trail shows who changed what in the books.
Setting up the general ledger in ExecCortex
Four things before anything can be posted: a company, a fiscal year, a chart of accounts and an open period.
1.Check your company
Under Setup, Companies, set the real name, registration and base currency. The base currency can only change before the first posting.
2.Generate a fiscal year
The year starts in the month set on the company, so two companies can close on different dates.
3.Build the chart
Apply a template to the empty chart or enter your own, and mark the control accounts for receivables, payables, bank, cash and tax.
4.Open the first period
Open it on the company’s fiscal calendar. A post into a period that has not been opened is refused.
5.Connect your other apps
Under App Connections, Company Mapping and Account Mapping decide where postings from Invoicing, Ecommerce, Point of Sale, Assets and HR land.
Every screen is explained in detail in the Accounting & Finance guide.
What it does not do
- It does not choose accounts for you. A wrong mapping gives balanced but wrong books, so every mapping is a person’s decision.
- It does not blend currencies. Totals are shown per currency.
- Authority Limits and Segregation of Duties record and report. They do not refuse anything yet, and each screen says so.
- AI suggests entries and flags unusual ones. Nothing it proposes reaches the books until somebody approves it.
What it costs
Every workspace starts on the free plan, with no card required. Each app is then priced per workspace and switched on by itself, and capacity packs raise one limit at a time without moving you to a bigger plan. Prices below are read live from the platform.

General ledger software: common questions
What is general ledger software?
It is accounting software that records every transaction as balanced debits and credits against a chart of accounts and produces the trial balance and financial statements from those entries.
Can I edit a posted journal?
No. Reverse it and post a corrected one. Both stay visible, which is what makes the ledger evidence.
Can I run more than one company?
Yes. Each company has its own books, currency and calendar, and Group Finance handles consolidation.
Why was my post refused?
Usually the debits and credits do not agree, the period is not open, an account is a heading or archived, or a required dimension is missing.
Do I need the Invoicing app as well?
Only to send documents to customers. Invoicing produces the invoice; Accounting & Finance keeps the books behind it, and both use one customer record.
