Employee management software
Employee management software for small business
Employee management software keeps every person, job change, leave request and payslip figure in one place. In ExecCortex it is the Human Resources Management app, where every job fact is dated and nothing is overwritten.
What employee management software does
Employee management software is the system a business uses to hold its people: who works there, what job each person has, who they report to, when they are away and what they are paid. It replaces the spreadsheet that starts as a staff list and slowly grows tabs for holidays, salaries, reviews and documents.
In ExecCortex this is the Human Resources Management app. The idea that makes it an HR system rather than a spreadsheet is simple: every job fact carries a date and nothing is ever overwritten, so the record can answer what was true on any past day. A title in March, a manager last year, the headcount at the end of a quarter.
It suits a small business that has outgrown the spreadsheet and does not want one tool for hiring, another for leave and a third for pay. Everything below lives in one menu, with one set of permissions and one list of people.
Everything about a person in one employee record
The HRM menu is grouped by job, so each area has its own screen and its own How to use panel. These are the groups you get when the app is switched on.
People
Employees, Org Chart, Staff Directory, Documents and the assets each person holds. Search matches name, employee number and work email.
Hiring
Job Openings, Candidates, Interviews, Offers and a Talent Pool, so a new starter arrives with their application history.
Times and Leaves
Attendance, Shifts, Timesheets, Leave, the Leave Calendar, Holidays and an Approvals queue.
Payroll
Payroll Runs, Compensation, Claims, Loans, Settlements and Statutory items. Payroll computes the figures and a person applies them.
Growth
Reviews, One to Ones, Feedback, Surveys, Courses, Certifications and Skills.
Workplace
Announcements, Policies and HR Cases, plus an Employee Portal for staff who never hold a login.
Dated history, and access that matches the job
Job title, department, designation, location, legal entity, manager and status are not fields on the person. They are dated records, and what you see is the latest one whose date is not in the future. Recording a promotion never overwrites the old title; it sits in the job history with its own dates. A change dated next month is stored as Scheduled and takes effect on its own on that day.
There is no delete button on the employee list, on purpose. Removing a leaver would take their job history with them, and every headcount trend depends on leavers still existing in past periods. Somebody who leaves gets a termination record with the status Exited, and Archive files a record away without destroying anything.
Access is set by role. Full people access shows the whole company. Team level access shows your direct reports only. National ID, tax id, bank details and health related notes are never sent to the browser of somebody without the sensitive viewing permission, so a restricted panel has nothing hidden behind it.
Staff management in the UK and Australia
In the UK and Australia the same job is often called HR software or staff management software, and time off is annual leave or holiday rather than PTO. The app works the same way: leave types, balances and a Holidays screen for the public holiday calendars your staff follow.
Payroll, holidays and statutory rules follow the legal entity on each employment record, not the workspace. A business that employs some staff through a UK entity and others through an Australian one keeps each group under its own rules in one system.
How employee management works in ExecCortex
The order most small businesses set it up in. Every screen named here has a How to use button in its header.
1.Switch on Human Resources Management
Add the app from the Plan page. The HRM menu appears with the HRM Dashboard, My Profile and Staff Directory at the top.
2.Add your people
On Employees, the add drawer takes identity and contact details and the first job record, dated the day they start. Leave the employee number blank and it is generated from the prefix in HR Settings.
3.Record changes as they happen
Open a profile and record a promotion, transfer, revision or status change. The reporting line has its own Change button on the Reporting card, because a manager change and a title change usually happen on different days.
4.Run leave and time
Leave opens on the Waiting tab, the only queue with work in it. The Leave Calendar shows who is away today and tomorrow side by side.
5.Prepare pay
Payroll Runs compute from Compensation, Claims and Loans. Nothing pays anybody by itself: a person reviews and applies each run.
6.Read the dashboard
The HRM Dashboard shows Active people, everybody On record including leavers, and Joiners and Leavers for the dates you pick. Headcount is always as at today.
Every screen is explained in detail in the Human Resources Management guide.
What it does not do
- It does not move money. Payroll computes figures and payslips, and paying people happens through your bank, done by a person.
- Adding an employee does not create a login. Most staff never hold a seat, and headcount is counted separately from platform users.
- Archiving somebody does not free a place on your employee limit, because they keep their employment history. Raise the limit instead.
- The HR AI Assistant suggests. It does not change a record, approve leave or send anything on its own.
What it costs
Every workspace starts on the free plan, with no card required. Each app is then priced per workspace and switched on by itself, and capacity packs raise one limit at a time without moving you to a bigger plan. Prices below are read live from the platform.

Employee management software: common questions
What is employee management software?
It is one system for the people side of a business: employee records, job history, reporting lines, leave, attendance, hiring, payroll figures and reviews. In ExecCortex it is the Human Resources Management app.
Do my employees need a login?
No. Adding somebody to Employees does not give them access to the platform. Staff without a login can still update their own details and request leave through the Employee Portal, and HR accepts what they send field by field.
Can it tell me what somebody’s job was last year?
Yes. Every job fact is a dated record and nothing is overwritten, so the profile keeps the full history and any past day can be answered.
Does it run payroll?
It computes payroll and payslips. It does not pay anybody: a person reviews each run and makes the payments through the bank.
Can a manager see only their own team?
Yes. Team level access limits the employee list to direct reports, worked out from the manager’s own employee record.
What does it cost?
Human Resources Management is priced per workspace. The current price is shown on this page and on the pricing page, read live from the platform, and every workspace starts on the free plan.
