CRM with invoicing
CRM with invoicing, on one customer record
A CRM with invoicing lets the person who wins the deal send the invoice from the same customer record. In ExecCortex the Customer Relationship Management and Invoicing apps share one customer, so a won deal becomes an invoice and the payments show on the client’s page.
Why a CRM with invoicing beats two separate tools
A CRM with invoicing closes the gap between selling and getting paid. With separate tools, a won deal is typed again into the invoicing system, the amounts drift, and nobody in sales can see whether the client has paid. Questions about an overdue invoice go to whoever runs the books.
In ExecCortex the Customer Relationship Management app handles leads, contacts, companies, deals and quotes. The Invoicing app handles invoices, quotations, payments, pay links, recurring billing and credit notes. Create Invoice on a deal hands it straight to Invoicing, and a company linked once shows its invoices on its Customer 360 page.
What the invoicing side covers
Six document types
Invoice, Quotation, Proforma, Estimate, Credit note and Debit note, sharing one builder, one set of templates and one numbering.
Clear statuses
Draft, Sent, Viewed, Partially paid, Paid and Overdue, with Void kept separate from Cancelled so a number is never lost from the sequence.
Pay Links
A link generated from a document lets a customer pay without signing in. The gateways behind it are set up under Payment Gateways.
Payments
Bank transfer, cash, card, cheque, online, PayPal, Stripe or other. Completed and Verified are separate, so you can reconcile.
Recurring
A monthly rule raises the same document on schedule so nobody has to remember.
Credit notes and refunds
A credit note reduces what a customer owes without deleting the invoice. A refund is money actually going back.
Quotes in the CRM, invoices in Invoicing
Sales quotes live in the CRM under Quotes and Proposals. Build the lines from Products and Price Books, check the totals, which are calculated on the server, then mint a share link. The recipient opens it and accepts or declines, and that decision is one way and one shot.
When the deal is won, Create Invoice hands it to Invoicing as a single line. From there the invoice follows Invoicing’s own rules: send it, share a pay link, record the payment, and watch it move from Sent to Paid. Overpaid is a real state, and usually means a payment was recorded against the wrong document.
Invoicing builds documents in USD, EUR, GBP, PKR, AED, INR, CAD and AUD, with your company currency as the default. Amounts in different currencies are never converted and never added together.
How CRM with invoicing works in ExecCortex
1.Switch on both apps
Customer Relationship Management and Invoicing, from the Plan page. Each is priced per workspace.
2.Set up Invoicing once
Under Setup, choose a template, connect payment gateways and set numbering, defaults and tax in Settings.
3.Link the customer
Link the invoicing customer in Directory to the CRM company, once. Its invoices then show on Customer 360.
4.Win and invoice
Mark the deal Won, press Create Invoice, review the draft in Invoicing and send it.
5.Collect and record
Share a pay link or record a payment by hand. Mark it Verified once it is confirmed against your bank.
Every screen is explained in detail in the Customer Relationship Management guide and the Invoicing guide.
What it does not do
- A recurring rule creates documents. It does not take money from a customer by itself.
- It does not keep double entry books. For a ledger, trial balance and statements, add the Accounting & Finance app, which receives sales invoices from Invoicing.
- It never converts currencies. Read each currency on its own.
What it costs
Every workspace starts on the free plan, with no card required. Each app is then priced per workspace and switched on by itself, and capacity packs raise one limit at a time without moving you to a bigger plan. Prices below are read live from the platform.
- Customer Relationship ManagementCapture, qualify and close leads without leaving one screen.$9 per month per workspace
- Invoicing Management SystemQuotes, invoices, payments and payroll, paid faster.$3 per month per workspace

CRM with invoicing: common questions
What is a CRM with invoicing?
It is a CRM where the same customer record is used to quote, invoice and record payment, so sales can see what has been billed and paid.
Can I turn a deal into an invoice?
Yes. Create Invoice on a deal hands it to the Invoicing app as a single invoice line.
Can customers pay online?
Yes, through a pay link generated from the invoice, using the gateways you set up under Payment Gateways.
An invoice went out with a mistake. Do I delete it?
No. Issue a credit note, which reduces what the customer owes and keeps the original document and its number.
Can the sales team see payslips too?
No. The payslip side of Invoicing has its own permissions, separate from billing, so whoever raises invoices does not see what colleagues are paid.
