Employee leave tracking for a small business means recording every day off in one place: who asked, which type of leave, which dates, who approved it, and what is left of each person's balance. Done well, it answers "who is off on Friday?" and "how many days does Sara have left?" in seconds, and stops the end of year argument about whose numbers are right.
This guide sets out a simple leave tracker system that works in a spreadsheet on day one and moves into software when the team grows.
Why leave tracking goes wrong in small teams
Most small businesses start with leave in three places at once: a message to the manager, a note on a wall calendar and a row in somebody's spreadsheet. Each one is a little different. The trouble shows up later:
- Balances nobody trusts. Two people keep two counts, and neither matches the payslip.
- Clashes found too late. Two people in a three person team book the same week.
- Lost approvals. A yes given in a corridor is forgotten by the time the leave starts.
- Payroll surprises. Unpaid leave or sick days are not passed on, and pay is wrong.
Every fix below comes back to one rule: one record of each request, from asking to approval to the balance.
Step 1: write a short leave policy
Before any tool, write down the rules. One page is enough:
| Rule | Example |
|---|---|
| Leave types | Annual, sick, unpaid, compassionate, public holidays |
| Allowance | [days] annual leave a year, pro rata for part time staff |
| Leave year | Calendar year, or from each person's start date |
| Notice | Ask at least [number] days ahead for annual leave |
| Approver | The line manager; the owner when the manager is away |
| Carry over | Up to [days] into the next year, used by [month] |
| Sick leave | Tell the manager by [time] on the first day |
Allowances, sick pay and public holidays are set by law in most countries, and the minimums differ, so check your local rules before you fill in the numbers. The policy only has to say what your business does on top.
Step 2: one way to ask for leave
Pick one route for requests and refuse the others politely. A form, an email to one address, or a request inside your HR software all work. What matters is that every request ends up as one record with:
- the person and the leave type,
- the first and last day, and half days if you allow them,
- the number of working days it costs, after weekends and public holidays,
- the status: waiting, approved, declined or cancelled.
A message in a chat group is not a request. Ask people to submit it properly, every time, and the rest of the system works.
Step 3: approve quickly and say why when you decline
A request that waits a week is how people end up booking flights before they hear back. Set a target, such as a decision within two working days, and keep the queue of waiting requests in one place the approver checks daily.
When you decline, give the reason in writing. "Two of the team are already away that week" is fair and easy to accept; a bare no is not. Some HR tools enforce this: in the ExecCortex HRM App, the decline button stays disabled until the approver writes a comment.
Step 4: keep balances honest
The balance is where trust is won or lost. Keep it simple:
- Start with the allowance for the leave year, adjusted for start dates and part time hours.
- Count only approved leave against it. A waiting request is not taken yet.
- Count working days, not calendar days. A Monday to Friday week off costs five days, not seven, and a public holiday inside it costs nothing.
- Record adjustments with a reason, such as carried over days or a correction, so nobody wonders why a number changed.
- Show people their own balance whenever they ask for leave, so surprises happen before booking, not after.
Step 5: a leave calendar that shows who is away
The question managers really ask is not "how many requests are approved?" but "who is off today, and is tomorrow worse?" A good leave calendar answers that at a glance.
Watch one detail: someone in the middle of a two week holiday is off today even though their leave did not start today. A list of "leave starting today" misses exactly the people most likely to be forgotten. Look for a view of approved leave that covers today.
Spreadsheet or leave tracking software?
A spreadsheet is a fine leave tracker for a handful of people. These signs say it is time to move:
| Sign | What it costs you |
|---|---|
| More than about 10 people | The sheet becomes a full time job for whoever owns it |
| More than one approver | Approvals happen outside the sheet and get lost |
| Balances disputed every year | Time and goodwill at year end |
| Leave must reach payroll | Manual retyping and pay errors |
| Managers ask "who is off?" daily | Nobody can answer without opening the file |
When you switch, look for software that keeps the request, the approval, the balance and the calendar in one record, and that passes approved leave to timesheets and payroll without retyping.
How leave tracking works in ExecCortex HRM
The HRM App keeps leave in the same record as the rest of each person's employment history:
- One queue. The Leave screen opens on Waiting, the only tab with work in it. Approved, Declined, Cancelled and All are the record of decisions already taken.
- Off today and Off tomorrow tabs list approved leave that covers the day, so nobody in the middle of a long break is missed.
- A preview before you submit. Raising a request shows the cost in days and any clashes as you type, and the figure shown is the figure saved.
- Context for the approver. While a request waits, the drawer lists the project cards due while that person is away, if you also use the Projects App. It informs the decision and never makes it.
- A leave calendar with who is away now and next, plus Holidays and Approvals screens in the same Times and Leaves area.
HRM is one of the Apps on the same platform as CRM, Invoicing and Projects, with one login and shared records. See pricing for the free plan and per App prices, or read how the all in one business software approach fits together.
Frequently asked questions
What is the easiest way to track employee leave?
Use one route for requests, one approver per person and one record per request with its dates, type, status and the working days it costs. For a small team a shared spreadsheet works; beyond about 10 people, leave tracking software saves time.
Should waiting requests count against the balance?
No. Count only approved leave against the balance. Show waiting requests separately so the person and the approver can see what would be left if it is approved.
How do I count leave days correctly?
Count working days, not calendar days. Leave out weekends and public holidays, and decide in your policy whether half days are allowed.
What should a leave policy include?
Leave types, allowances, the leave year, notice to give, who approves, carry over rules and how to report sickness. Check local law for minimum allowances and sick pay.
Can leave tracking connect to payroll?
Yes, in HR software that keeps leave and pay in one place. Approved unpaid leave and sick days then reach the payroll run without being typed again.
