Free asset register template for tools and equipment

This free asset register template is one sheet with a row for every tool, laptop or machine your business owns: its tag, serial number, location, who holds it, what it cost, when its warranty ends and what state it is in. It is a CSV file that opens in Excel or Google Sheets. Download it, no sign up needed.

What is in the asset register template

The columns are asset tag, asset name, category, serial number, location, assigned to, assigned on, purchase date, purchase cost, supplier, warranty ends, condition, status and notes. Two example rows show the format; delete them before you start.

Give every asset a tag that never changes and never gets reused, even after the asset is disposed of. The tag is what you write on the label, and it is how a row stays the same thing for years.

Keeping an asset register template accurate

Status is not condition

Status says where an asset is in its life, such as in use or in repair. Condition says what state it is in. Keep both.

Record who holds it

Fill assigned to and assigned on every time something is handed over, or the register cannot say where a tool went.

Keep disposed assets

Mark them disposed rather than deleting the row, so the history and the cost stay on record.

Check it physically

Walk round once in a while and compare what you see with the sheet. A register nobody checks drifts within months.

When the asset register template stops being enough

A sheet records what you typed. It cannot tell you that a drill is overdue back from a site, print a label, or show everything one person is holding when they leave.

The ExecCortex Asset Management app keeps the same register with statuses such as In stock, In use, In repair, Lost and Stolen, prints QR code and barcode labels, issues assets to a person or a site with a due back date, and keeps a Custody ledger of who held what and when. Holdings by person lists everything somebody holds, and Audits record what you actually found.

Step by step

Moving from the template to Asset Management

  1. 1.Set up categories and places

Under Setup add the kinds of asset you hold, and under Places the rooms, vans and sites they live in.

  2. 2.Add your assets

Add each one with its category, place, status and cost, using your sheet as the source.

  3. 3.Print and stick labels

Open Asset labels and print the QR code and barcode labels.

  4. 4.Issue and return

Issue each asset to whoever holds it, and record returns with their condition.

Every screen is explained in detail in the Asset Management guide.

What it costs

Every workspace starts on the free plan, with no card required. Each app is then priced per workspace and switched on by itself, and capacity packs raise one limit at a time without moving you to a bigger plan. Prices below are read live from the platform.
